Job Summary

The Wealth Management Operations Specialist is responsible for the technical administration and lifecycle management of investment accounts. This is a highly analytical role that sits at the intersection of finance, technology, and compliance. You will be the primary point of contact for our Broker-Dealer (LPL Financial) and will oversee the movement of money, the processing of complex trades, and the accuracy of client data.

The ideal candidate is someone who finds satisfaction in "getting it right the first time" and enjoys improving workflows to make the entire wealth management division more efficient.

Key Responsibilities

  • Asset Movement & Processing: Oversee all incoming and outgoing asset transfers (ACATS), wire transfers, and physical check deposits. Ensure all funds are moved according to strict regulatory timelines.
  • Trade Support: Facilitate the execution and settlement of trades for mutual funds, equities, and fixed-income products as directed by the Wealth Advisors. Monitor for trade errors and execute corrections when necessary.
  • Data Integrity & Reporting: Maintain the accuracy of the CRM (Salesforce) and portfolio management systems. Generate quarterly performance reports and ensure that all client billing and fee deductions are calculated correctly.
  • New Account Quality Control: Perform a final audit on all new account paperwork to ensure it meets FINRA "Know Your Customer" (KYC) and Anti-Money Laundering (AML) standards.
  • Vendor Liaison: Serve as the internal expert on our clearing platform and third-party software. Troubleshoot technical issues and manage implementation of updates.
  • Audit Preparation: Maintain organized, digital archives of all transactional records. Assist the Compliance Officer during annual audits or regulatory examinations.

Requirements & Qualifications

  • Education: An Associate or Bachelor’s degree in Accounting, Finance, or a related business field.
  • Experience: 2–5 years of back-office operations experience in a brokerage firm, credit union, or investment house.
  • Technical Skills: Mastery of Microsoft Excel (VLOOKUPs, Pivot Tables) and experience with financial clearing platforms (such as LPL’s ClientWorks).
  • Attention to Detail: An extreme focus on accuracy and catching small errors.
  • Licensing: FINRA Series 99 (Operations Professional) is a plus but not required. We will support the right candidate in obtaining this license within their first year.
